Qoppa’s PDF Editor 2023 with Enterprise Deployments, Dropbox Team Spaces, Multi Document Actions

The leading Atlanta based software company, Qoppa Software by Apryse announced version 2023 of its powerful, intuitive PDF editor, PDF Studio for Windows, Mac, and Linux operating systems. The latest version contains enhancements for enterprise deployment, support for Dropbox Team Space, and many new features that improve the usability of the application.

Take a look and some of the highlighted features below:

  • Enhanced Support for Enterprise Deployments
  • Installer Enhancements on Windows and Linux
  • Support for Dropbox Team Spaces
  • Additional Multi Document Functions throughout the Application
  • Search through all Preferences
  • Better Conversions for Microsoft Office File Formats
  • New Optimizations Options (Unembed Fonts, Remove Tags)
  • New “Highlighter” Marker Tool

PDF Studio 2023 comes with improvements for enterprise deployments that will help IT managers specify their own companywide settings when deploying the PDF editing application to a large volume of users across their organization. The settings are defined at install time and are maintained across version upgrades. This gives system administrators better control over the distribution of PDF Studio licenses and the formalization of company and user settings. The installation process was also enhanced to follow standard operating systems practices for storage location of installer files and user settings.

This version contains improvements to Qoppa’s proprietary conversion engines from and to Microsoft Office file formats. The second iteration of our PDF to Word conversion, particularly, is now more reliable with enhancements to the text layout in the output Word document (for instance when the original PDF contained columns and tables) and with support for converting PDF shapes and PDF paths to Word format.

Dropbox enterprise users will be glad to learn that PDF Studio now integrates with Dropbox Team Spaces. Users belonging to a Dropbox team account are now able to access folders shared by the team, including team folders and team member folders. This should simplify Dropbox users workflows, allowing them to collaborate more efficiently on documents edits with others team members by opening PDF documents directly within PDF Studio, editing them in the application, and saving them straight back to the team folders in Dropbox cloud.

Over the years, the number of preferences allowing users to customize the application has increased significantly, making it challenging sometimes for users to find the specific preference they are looking for. In this version, a new search box in the Preferences dialog was added that makes it possible to search through the many settings. The search engine is dynamic so users can simply input a few letters of a keyword and PDF Studio will instantly identify the different panes and categories containing preferences that match the keyword. Users can find the search box conveniently at the top left of the Preferences dialog, just above the list of categories.

PDF Studio now offers more control over how fonts are embedded in documents by giving the flexibility for users to decide whether to embed or unembed a font from the file content. These new actions are available from the Document Properties dialog under the Font Tab (which lists all the fonts present in a document). The sophisticated Optimizer function was also enhanced to permit to remove embedded fonts from in a document and remove document tags and invalid bookmarks present in the document, giving users even more options to optimize their PDF documents and reduce their file size.

New multi document functions have been added throughout this new version of PDF Studio allowing users to perform a single function on multiple documents at once. For instance, it is now possible to “Print All”, “Save All”, “Email All” documents all documents currently open in the frame.

The new “Marker” tool added under the Comment Pane now allows users to freely highlight text or any other elements on PDF pages in the same way they would when highlighting with a physical marker. This tool gives a lot more freedom in the highlighting pattern than the existing text highlight tool that requires users to follow the exact flow on a page and can sometimes be challenging when the layout is not recognized precisely due to free positioning of text in PDF. The marker tool come with easy options to customize the color, line width, and the transparency percentage of the highlights during use. This tool, together with the Pencil tool, can be found by going to the Comment Tab and navigating to the new Drawing Section.

New Highlighter / Marker Annotation

The new version also comes with new features that were requested by our users to help them save time and get things done faster. For instance, when creating interactive forms, users will now be able to save and reuse their own predefined text fields with custom date, number or currency formats. They will also be able to print only a portion of a page after selecting it with the Snapshot tool without having to first save it to an image file. To see a complete list of our features in PDF Studio 2023 click here.

As usual, the new version remains compatible with all major operating systems, and can run on Windows 11, macOS 13 Ventura, and all Linux distros (Ubuntu, Debian, Fedora, CentOS, Mint). You can purchase PDF Studio 2023 now here!

Best Tax and Document Software for Tax Season 2023

We are currently in the thick of tax season 2023. If you have not filed your taxes yet, have no fear, because filing taxes is a lot less “taxing” than in the past. Before the standard was to hire an accountant or go to a tax service agency to have your taxes filed, which would cost you anywhere between $200-$600. In 2023 there are plenty of tools and tax preparation software applications that allow the average citizen to file their taxes on their own for little to no cost; in this article we will provide you with them.

A popular tax service application is TurboTax. It is the #1 best-selling tax preparation software to file taxes online. This software can cost $40-$180, depending on the services or features the user needs. H&R Block now offers an option to file taxes online. For simple filing situations such as those with W2 income or students, this tax preparation software can be free and easy but those who may be independent contractors or business owners it can start at $89. Lastly, a tax preparation software to consider is TaxAct. This online software allows users to file their federal taxes for free and state taxes for an additional $40. TaxAct allows non-resident aliens to file taxes through their software as well.

These tax preparation software applications can be a great help with tax regulations and compliance but an additional burden when you are filing taxes and need to prepare and organize your paperwork. For this you will need more than a PDF viewer, you will need a PDF editing application. Qoppa Software’s PDF editor in particular, PDF Studio, has a lot of great features that can help you put your documents together this tax season. PDF Studio allows users to open W2’s, 1099’s, and other documents sent as a PDF or scan paper versions to PDF. You can use OCR to recognize text in your documents, extract data reliably, and copy/ paste the text into the tax preparation software. You can also fill in interactive forms, merge or split documents, digitally sign documents, and more. PDF Studio supports most major operating systems such as Windows, Mac, and Linux. Currently there is a sale on PDF Studio for tax season; click here to purchase it now or learn more about it.

Should You Pay to Edit PDF Documents?

It really depends on your specific needs and the frequency with which you need to edit PDFs.

If you only need to make minor edits to a PDF, such as add text, fill out a form, annotate, highlight, or use basic printing there are many free PDF readers (desktop applications or even online readers) available that can get the job done. Examples include Adobe Acrobat Reader DC, PDF Studio Viewer, Sumatra PDF Reader.

However, if you need more advanced features, you may need to consider paying for a PDF editor. Paid PDF editors offer more features than free tools, such as the ability to edit the content of the PDF, convert PDFs to other file formats, add digital signatures, redact sensitive information, and edit the document’s metadata. Additionally, paid PDF editors usually have better customer support and security features, which can be important if you work with confidential documents.

One of the most popular paid PDF editor’s is Adobe Acrobat Pro. It is a comprehensive PDF editing application that offers advanced features such as the ability to edit content, assemble documents, create and edit forms, redact sensitive information, digitally sign, and optimize PDF files for web publishing. Adobe Acrobat Pro is a good option for larger businesses or organizations that have a larger budget for software.

For organizations that are budget conscious including small to medium size companies, PDF Studio may be a good alternative. PDF Studio offers the same advanced features as Adobe Acrobat (including redaction, optimization, digital signature and OCR). It even includes additional features to compare documents through overlay or by displaying them side by side. PDF Studio is a more affordable alternative that offers a perpetual license model.

There are many options available for PDF software and the decision of purchasing or not comes down to users’ specific needs. If users only need to edit PDFs infrequently and don’t require advanced features, a free tool may suffice. However, if users regularly work with PDF documents or require advanced editing capabilities, it may be worth investing in a paid PDF tools such as Adobe Acrobat, PDF Studio, or other great professional-grade PDF editors such as Foxit PDF Editor Pro or Kofax Power PDF Advanced.

Qoppa’s PDF Editor 2022 with Action Wizard, Session Manager, PDF to Word, Color Separation

Qoppa Software, a leading PDF software company based in Atlanta, announces version 2022 of PDF Studio, their powerful, intuitive PDF Editor for Windows, Mac and Linux. The latest version is packed with tools to enhance work productivity for our most advanced and professional users. PDF Studio 2022 provides a powerful, smooth and unified solution to help accomplish almost any task involving PDF documents across various platforms, all within the same application.

Here are some of the new exciting features included in this version:

PDF Studio 2022 provides a new Action Wizard to easily automate repetitive tasks required to be performed on PDF documents on a regular basis. Users create their own custom actions by selecting however many commands or functions they need and by pre-setting them with specific options. Saved actions can then be started with a single click to apply all the recorded steps to either a single document or a chosen set of documents, saving users time and keystrokes.

Creating an Action to OCR and Optimize PDF Files using PDF Studio Action Wizard

Another feature that should enhance productivity is the new Session Manager. This feature allows users to save the full list of documents opened in the application as a session, and reopen all of them later with a single click, restoring the various frames and documents within the same frames and in the same document tabs. For ease of convenience, sessions can be named, searched and deleted. For convenience, PDF Studio will also automatically save your last session each time the application is exited. Professionals whose workflow entails sets of documents should find this feature very helpful such as a lawyer who could possibly save a session per active case, an accountant per tax customer, a doctor per patient, and so forth…

PDF Studio new Session Manager under File > Open. Save new sessions, view, search, delete existing sessions

Book and magazine publishers will be delighted with the new Automatic Table of Contents Generation dialog that allows users to build a table of content directly from the bookmark tree contained in a PDF document with a single click. Users can choose among multiple customization options including fonts, format and margins in order to customize the resulting output to their exact liking and requirements. Page labels are supported when present in the document in lieu of page numbers.

Converting PDF to Word is now possible on all platforms including macOS and Linux, without the need of having Microsoft Word installed on the machine. PDF Studio 2022 offers 2-way conversion (from PDF to Word and from Word to PDF) so users can transform their documents to make specific edits in the more reflowable Word format and then conveniently convert them back to the more sharable PDF format. Like the majority of functions in PDF Studio, the new PDF to Word conversion was developed by our own team of experts using our extensive knowledge of both the PDF and the Word formats. This feature is marked as beta, as we continue to publish improvements to the new conversion engine over the next few months. The text with its various fonts and styling as well as images in a Word document are pretty straight forward to interpret and convert but it will require a few iterations to perfect the layout of documents for elements such as as paragraphs, tables and columns.

Additional Prepress and Print Production functions were included in PDF Studio 2022, among them Color Separation in Output Preview, PDF/X Conversion, and a new option to customize the PDF/A Mode, i.e., the way the application behaves when opening PDF/A documents marked for archiving.

Version 2022 also comes with an abundance of performance and usability enhancements to the existing features including comments pane improvements, an additional customization option for theme and icon colors, easier tools to add pdf contents onto pages, PDF stamps with data capture, a preference to add comments summary when printing, updated document storage API, PDF to RTF conversion, etc… See the full list of PDF Studio 2022 features.

Overall, PDF Studio Version 2022 continues to simplify our users’ experience when they perform complicated tasks on PDF documents, by providing more powerful and sophisticated tools to work in-depth with documents. As usual, all new features are available on all platforms, Windows 10 & Windows 11, macOS 12 Monterey, and various Linux distros (Ubuntu, Debian, Fedora, CentOS, Mint)! Download PDF Studio 2022 Now!
