Qoppa’s PDF Editor 2021 with Accessibility Features, Improved Content Editing, Enhanced User Interface

Qoppa Software, a leading PDF software company, announces version 2021 of PDF Studio, their powerful, intuitive PDF Editor for Windows, macOS and Linux. The latest version is packed with enhancements that will aid users in the efficiency of their daily workflow when creating new documents or enhancing the content of their existing documents. It includes new accessibility options to assist users with impairments and refines its existing tools to make them more functional and customizable.

Here are some of the new exciting features included in this version:

PDF Studio 2021 provides new accessibility color options when rendering documents to help accommodate users who are visually impaired or working in dimly lit environments and give them an easier reading experience. Text and background colors can be adjusted to one of the default higher contrast color schemes provided, or can be fully customized by the user.

Another accessibility feature that has been added is Read Out Loud, a Text-to-Speech (TTS) tool that is able to read the document text aloud and assist users with reading impairments. This tool can be activated through the ribbon toolbar or a keyboard shortcut (Ctrl + Shift + V).

Content editing has been improved to automatically recognize and highlight the different paragraphs, columns, and sections present on the page, allowing users to immediately identify the different text area sections. The text reflow has been refined for consistency and reliability.

A new content explorer panel was added to assist with content editing. It allows users to view the overall structure of a document by displaying all content objects contained in the document in a hierarchical tree format. This permit users to easily identify and select content objects present on a page, including text, images, paths, shades and containers objects.

The flatten annotations feature has been enhanced to offer an option to allow “unflattening annotations” subsequently and reverse the flattening action, so users are able to continue making edits and revisions. Flattening annotations is used by professionals such as architects to consolidate review annotations within the content of their documents before sharing them with their clients. This process guarantees consistent reading of a document across operating systems and alternative PDF applications being used.

Additional preflight functions were included in PDF Studio 2021. These functions are PDF/A 2u & PDF/ A 3u validation & conversion. These sub-formats are used for scientific articles or journals to validate documents containing Unicode text and mathematical calculations.

PDF Studio 2021 version comes with an upgraded OCR Engine which performs better when recognizing text within slanted or low resolution scanned images. It also contains many refinements to the user interface, the annotations tools and reading experience. The new “real” full screen mode is perfect for focused reading or presenting. Automatic link detection within the text content makes it simple for users to navigate to external sources and materials. There are many more improvements included in PDF Studio 2021. See the full list of PDF Studio 2021 features.

Overall, PDF Studio Version 2021 enhances user experience with new accessibility features and gives users more control when manipulating and enhancing their documents. As usual, all new features are available on all platforms, Windows, macOS and Linux! Download PDF Studio 2021 Now!

New PDF Studio 2020 with Opening Docs in Tabs, Redesigned Vertical Comments Pane, License Key Portal

Qoppa Software, a leading producer of PDF software, announces version 2020 of PDF Studio, their powerful, intuitive PDF Editor for Windows, macOS and Linux. This version contains many improvements to the user interface to enhance the overall application usability:

The PDF Studio 2020 version allows users to open multiple documents in a single tab instead of individual frames. This will make it easier and more convenient for professionals working on multiple documents at once, such as a lawyer who could open all documents related to a case into a single window. Right click menu options on those tabs offer options to perform quick tasks, such as sending a document to a separate frame, etc. If the user prefers the former behavior, a setting makes it possible to revert back to opening documents or windows.

The PDF Studio 2020 version also comes with a redesigned vertical comments pane, now located on the right side of the application in a vertical format. This newly designed pane enhances the users’ ability to review and easily navigate through comments in a document. Notes can be edited directly in the pane and new export formats are available.

A new “Find Tools” search box was added in the PDF Studio 2020 version in the top right of the frame to help locate tools efficiently. When a user begins typing in the search box, results for tools that match will appear in real time. Users can select the tool they wish to use and are redirected to the correct tab on the ribbon toolbar with the corresponding tool appearing highlighted.

A new license key management tool is available in this version to qualifying customers. The tool allows IT personnel and administrators to manage registrations of their staff or team. It makes it easier for them to review and manage registrations of users within their staff or team. The tool includes many features such as a dashboard with quick links to key management and support tools, the ability to claim multiple keys under a single login, and more — see here fore a complete list. The tool can be granted upon request to companies with more than 10 licenses and an active subscription or upgrade plan.

There are many other user interface improvements and features included in the 2020 version. Some of the additions are: easy color changing for annotations tools, enhancing the application default Initial view to hide thumbnails and fit to width, enhancing some dialog to no longer be modal which permits users to continue working on other frames when running a long OCR or printing process, a new batch process to export annotations, the option to change z-order of content objects, Excel to PDF conversion enhancements, etc… See the full list of new features.

Version 2020 contains many interface changes along with new tools, making it possible to view, annotate and navigate through documents even more easily and efficiently!

6 Reasons Why Your Business Should Use PDF Tools

The portable document format, or commonly referred to as PDF today, traces its origins and first use back to the early 1990s. Created by Adobe, the PDF software did not see widespread utilization until the last decade when Adobe introduced their innovation to the ISO (International Organization for Standardization) in 2007.

PDF became the internet’s official format for publishing documents. More than 25 years since the introduction of PDF, the number of PDF software users has greatly increased. In a 2017 PDF usage survey by the Ghent Workgroup, 89% of 1,109 respondents use PDF tools to create and receive PDF documents.

The use of PDF is becoming more and more ubiquitous, especially in the business world. From invoicing customers to drafting and signing legal contracts and sharing business reports, PDF is streamlining and accelerating many business processes that involve documents.

Why use PDF file format, you ask? The following benefits should give you a clear picture of how PDF helps your business.

  1. Maintain the Same Format

People share documents all the time. With today’s technology, it is so easy to create and share documents with colleagues, customers, and superiors. There are so many document management systems that let you do all that.

But creating a business contract or a financial statement made in Microsoft Word or other systems and sharing it with a client who reads it in a different document word processor can create a lot of confusion and a great deal of embarrassment.

Changes or modifications to the content structure of your documents range from slight difference is text font or size to misplaced graphics elements and even overlapping words, text boxes, and images. Such a scenario makes you look bad to your colleagues, clients, and upper management.

With PDF tools, you can create a document complete with all the graphs and images and send them to your co-workers, customers, and friends with confidence. That’s because you know that your documents will appear to your recipients exactly as you created them, driving your business forward without any delay due to confusion.

  1. Supports Any Operating System and Devices

PDF documents are compatible with any operating system and can be viewed, read, and edited on desktops, smartphones, and tablets. From taking notes at work to making financial reports for internal dissemination, many businesses around the world prefer to create and share documents in PDF format than anything else.

When you send out an invoice in PDF, you know your customers can read it on the desktop or mobile phone when they get it. You can even affix your signature on a PDF document to make it legally binding using your tablet.

The massive use of PDF also makes it very ubiquitous. That is why investing in a good PDF software is a rewarding move for any business organization. Or, if you want to test PDF tools before making a large investment, there are a number of free PDF tools online that you can check out.

  1. Requires Less Storage Space

Storage space is precious, especially if you are working with large files and only have a few gigabytes worth of storage room to spare. One solution is to store all your documents in a cloud-based storage. Companies and people benefitting from the cloud hosted document storage hubs number in hundreds and thousands. But if you find yourself working with limited storage files, a PDF software can be your lifesaver.

All PDF software solutions are designed to compress files to small sizes. An 8.5×11 document scanned into a system is approximately 1,000 kilobytes in size. Convert that document into PDF and the file size is reduced to 28-33 kilobytes. With PDF software, you can compress the file size of a legal contract created and processed using Microsoft Word by as much as 25% of the original. For example, a 20-kilobyte financial statement is compressed to five kilobytes or smaller when converted to PDF.

Aside from saving you storage space, small file sizes actually accelerate the document loading time. PDF documents load faster, making them ideal in business environments and situations where speed is of the essence. Time-sensitive tasks such as contract signing and facilitating approvals are not delayed, resulting in the faster accomplishment of tasks.

  1. Integrate Non-Text Components Easily

Graphics help make any document more attractive and engaging. Visual elements such as logos, images, graphs, and charts help you create compelling and convincing contracts, invoices, and reports. You can convey your message better, especially when you are making a business pitch or trying to prove a point.

Incorporating visual components to documents can be tricky using popular word processors. You won’t have a problem with adding graphics to your documents with a PDF software though. Integration of non-text elements, including hyperlinks, is a breeze. This allows you to create visually stunning and attractive documents that can be viewed as they are.

  1. Secure Documents via Password Protection

Business documents contain sensitive information. A PDF software provides you with the ability to secure your documents with a password and limit the number of people who can access your documents.

That means you are in total control when it comes to who can view your PDF documents. You can also give specific permissions to people who can access and make changes to your documents (Read-Only and Read and Edit).

  1. Read PDF Docs for Free

Enterprise-grade PDF software may cost a lot. The good news is that the recipients/readers of your PDF documents don’t need to invest in a PDF solution to access your documents. Various PDF readers are free and easy to install on any computer or device. This means even if they don’t have an existing PDF software, they can still view your PDF documents without spending a dime.

PDF: Here To Stay

Advances in technology are moving at a very fast pace, especially in the past couple of decades. The world has seen life-changing innovations quickly become obsolete relics in just a few years. But PDF, although born in the early 1990s, is here to stay and will be the standard online document format well into the future.

If you are considering investing in a PDF software to give your document management efforts a boost, now is the time. The software just brings a number of benefits into the picture and will give your company a huge return on its investment.

Its ubiquitousness is unparalleled and unchallenged. Originally developed to enable the U.S. Federal Government to store its legacy files, PDF has morphed into this totally functional utility that is used by more than 80% of businesses and organizations all over the world.

Simply put, there is no way people and businesses will adapt and utilize a different online document format unless a fundamental shift in computing occurs. And experts say they see no fundamental shift happening in the foreseeable future.Follow Facebooktwitterlinkedinrssyoutube

New PDF Studio 2019 with Docusign & Document Storage Integrations, PDF/UA Tagged PDFs

Qoppa Software, a leading producer of PDF software, announces version 2019 of PDF Studio, their powerful, intuitive PDF Editor for Windows, macOS and Linux. This new version delivers integration with Docusign and Cloud Storage Services to help users manage, store and sign electronic documents, as well as user accessibility tools  to create PDF/UA compliant documents.

PDF Studio 2019 adds many new exciting features, including:

Two new major integration features in this version will help users track, store and manage their PDF documents and reduce paper use, at work or at home. They are available on all platforms (Windows, macOS and Linux), not only in Qoppa’s PDF editing application, PDF Studio, but also in Qoppa’s free PDF reader, PDF Studio Viewer.

PDF Studio 2019 is fully integrated with popular document storage systems, Dropbox, Google Drive and One Drive, allowing users to browse, load and save documents from and to the cloud, in the same easy way as they access files on their local file system.

The Docusign integration makes it easy to manage legal agreements that require third party signatures, such as invoices, leases, work orders or rental contracts. Documents and forms are created and customized in our PDF editing application, then sent seamlessly to Docusign, through the integrated interface, where they can be populated with signatures fields, and sent off for signing. The integrated document workflow will no doubt save valuable time and effort in the daily routine of many business professionals and contractors.

User accessibility features were added in version 2019, allowing users to create accessible tagged PDFs, by exploring, verifying, creating and editing tags in a document. The accessibility tags are attached to the different objects present in the content of a PDF, such as headings, images, paragraphs and tables. They are designed to help accessibility software, such as screen readers, understand the document structure and present the information accurately to readers with disabilities. PDF/UA standard is the PDF sub-format that defines these tags.

The new Split Document View allows to view or inspect the content of two non continuous PDF pages in a long and complex PDF document at once. It is useful when users need to refer to one part of a document, while reading another. There are options to split the view vertically or horizontally, and to copy the zoom level from one view to the other.

The already powerful Overlay Comparison feature was enhanced this cycle, allowing to compare 2 or more PDF documents by changing their color then overlaying them, in such a way that identical content is shown in gray and differences are highlighted in different colors. This feature is especially useful for architects and engineers to visually identify even small differences in architectural drawing and blue prints. The new automatic alignment and scaling tool makes it easy to precisely superimpose documents coming from different sources and having disparate offset, scale, or even rotation. For performance and accuracy, the exported comparison document is now vector based, with all overlaid documents saved in separate layers, that can be turned on and off with a click.

Fix Scan comes with various functions to clean up scanned documents, including a deskewing function to straighten pages, an OCR function to recognize and add searchable text, and finally an optimize function to reduce the size of the images, and improve image resolution and compression algorithm.

PDF Studio 2019 includes many other improvements, such as a sanitize tool, search and markup, search & redact, ability to customize quick access toolbar with favorite tools, merge and flatten layers. See the full list of new features.

Version 2019 delivers integration with Docusign & Document Storage Services
to help users manage, store and sign electronic documents,
as well as user accessibility tools  to create PDF/UA compliant documents.

White Paper: Memorializing Online Transactions with PDF Documents

This is an extract of a white paper written by Gerald Holmann, founder and president of Qoppa Software.  The full white paper on Memorializing Online Transactions with PDF Documents is available for reading on Qoppa Software’s website.

Summary

Today, more and more transactions are being handled online across a broad range of categories. Transactions can be Business-to-Consumer (B2C) and Business-to-Business (B2B), local and international, goods and services, and can be settled using credit cards, bank transfers or peer to peer payment networks.

While different approaches have been deployed to ensure the safety of data transmission and to verify the identity of the parties, very little has been done to ensure that the transactions are memorialized in a secure and reliable manner.

Memorializing the transaction in a reliable way becomes critical anytime that a transaction needs to be revisited, which can happen for many reasons, including audits, disputes and others. In these situations, it is imperative to have the ability to retrieve the transaction in a human readable form, for close inspection.

Most eCommerce systems in common use do not provide this guarantee, with the potential to cause legal and financial problems when transactions have to be examined.

Proposed Method

We propose that by saving a visual representation of the transaction, created at the time that the transaction is made, these issues will be resolved. The natural format to store this representation would be the PDF format, for a number of reasons. PDF is the de facto universal electronic document format, it is used and accepted by anyone that uses electronic documents, and provides features for long term archiving and document integrity.

By capturing the visual representation at the time that the transaction is processed, it is guaranteed that the data used in creating the document is current and valid and the visual representation of the transaction matches the expectations of all the parties involved in the transaction.

Once capture, the PDF document should be stored separately from the transaction data records, preferably in a system designed to store documents, such as a document or content management system. Once stored, the document can carry a transaction id or similar reference to be able to connect to the transaction data records.
