6 Reasons Why Your Business Should Use PDF Tools

The portable document format, or commonly referred to as PDF today, traces its origins and first use back to the early 1990s. Created by Adobe, the PDF software did not see widespread utilization until the last decade when Adobe introduced their innovation to the ISO (International Organization for Standardization) in 2007.

PDF became the internet’s official format for publishing documents. More than 25 years since the introduction of PDF, the number of PDF software users has greatly increased. In a 2017 PDF usage survey by the Ghent Workgroup, 89% of 1,109 respondents use PDF tools to create and receive PDF documents.

The use of PDF is becoming more and more ubiquitous, especially in the business world. From invoicing customers to drafting and signing legal contracts and sharing business reports, PDF is streamlining and accelerating many business processes that involve documents.

Why use PDF file format, you ask? The following benefits should give you a clear picture of how PDF helps your business.

  1. Maintain the Same Format

People share documents all the time. With today’s technology, it is so easy to create and share documents with colleagues, customers, and superiors. There are so many document management systems that let you do all that.

But creating a business contract or a financial statement made in Microsoft Word or other systems and sharing it with a client who reads it in a different document word processor can create a lot of confusion and a great deal of embarrassment.

Changes or modifications to the content structure of your documents range from slight difference is text font or size to misplaced graphics elements and even overlapping words, text boxes, and images. Such a scenario makes you look bad to your colleagues, clients, and upper management.

With PDF tools, you can create a document complete with all the graphs and images and send them to your co-workers, customers, and friends with confidence. That’s because you know that your documents will appear to your recipients exactly as you created them, driving your business forward without any delay due to confusion.

  1. Supports Any Operating System and Devices

PDF documents are compatible with any operating system and can be viewed, read, and edited on desktops, smartphones, and tablets. From taking notes at work to making financial reports for internal dissemination, many businesses around the world prefer to create and share documents in PDF format than anything else.

When you send out an invoice in PDF, you know your customers can read it on the desktop or mobile phone when they get it. You can even affix your signature on a PDF document to make it legally binding using your tablet.

The massive use of PDF also makes it very ubiquitous. That is why investing in a good PDF software is a rewarding move for any business organization. Or, if you want to test PDF tools before making a large investment, there are a number of free PDF tools online that you can check out.

  1. Requires Less Storage Space

Storage space is precious, especially if you are working with large files and only have a few gigabytes worth of storage room to spare. One solution is to store all your documents in a cloud-based storage. Companies and people benefitting from the cloud hosted document storage hubs number in hundreds and thousands. But if you find yourself working with limited storage files, a PDF software can be your lifesaver.

All PDF software solutions are designed to compress files to small sizes. An 8.5×11 document scanned into a system is approximately 1,000 kilobytes in size. Convert that document into PDF and the file size is reduced to 28-33 kilobytes. With PDF software, you can compress the file size of a legal contract created and processed using Microsoft Word by as much as 25% of the original. For example, a 20-kilobyte financial statement is compressed to five kilobytes or smaller when converted to PDF.

Aside from saving you storage space, small file sizes actually accelerate the document loading time. PDF documents load faster, making them ideal in business environments and situations where speed is of the essence. Time-sensitive tasks such as contract signing and facilitating approvals are not delayed, resulting in the faster accomplishment of tasks.

  1. Integrate Non-Text Components Easily

Graphics help make any document more attractive and engaging. Visual elements such as logos, images, graphs, and charts help you create compelling and convincing contracts, invoices, and reports. You can convey your message better, especially when you are making a business pitch or trying to prove a point.

Incorporating visual components to documents can be tricky using popular word processors. You won’t have a problem with adding graphics to your documents with a PDF software though. Integration of non-text elements, including hyperlinks, is a breeze. This allows you to create visually stunning and attractive documents that can be viewed as they are.

  1. Secure Documents via Password Protection

Business documents contain sensitive information. A PDF software provides you with the ability to secure your documents with a password and limit the number of people who can access your documents.

That means you are in total control when it comes to who can view your PDF documents. You can also give specific permissions to people who can access and make changes to your documents (Read-Only and Read and Edit).

  1. Read PDF Docs for Free

Enterprise-grade PDF software may cost a lot. The good news is that the recipients/readers of your PDF documents don’t need to invest in a PDF solution to access your documents. Various PDF readers are free and easy to install on any computer or device. This means even if they don’t have an existing PDF software, they can still view your PDF documents without spending a dime.

PDF: Here To Stay

Advances in technology are moving at a very fast pace, especially in the past couple of decades. The world has seen life-changing innovations quickly become obsolete relics in just a few years. But PDF, although born in the early 1990s, is here to stay and will be the standard online document format well into the future.

If you are considering investing in a PDF software to give your document management efforts a boost, now is the time. The software just brings a number of benefits into the picture and will give your company a huge return on its investment.

Its ubiquitousness is unparalleled and unchallenged. Originally developed to enable the U.S. Federal Government to store its legacy files, PDF has morphed into this totally functional utility that is used by more than 80% of businesses and organizations all over the world.

Simply put, there is no way people and businesses will adapt and utilize a different online document format unless a fundamental shift in computing occurs. And experts say they see no fundamental shift happening in the foreseeable future.

New PDF Studio 2019 with Docusign & Document Storage Integrations, PDF/UA Tagged PDFs

Qoppa Software, a leading producer of PDF software, announces version 2019 of PDF Studio, their powerful, intuitive PDF Editor for Windows, macOS and Linux. This new version delivers integration with Docusign and Cloud Storage Services to help users manage, store and sign electronic documents, as well as user accessibility tools  to create PDF/UA compliant documents.

PDF Studio 2019 adds many new exciting features, including:

Two new major integration features in this version will help users track, store and manage their PDF documents and reduce paper use, at work or at home. They are available on all platforms (Windows, macOS and Linux), not only in Qoppa’s PDF editing application, PDF Studio, but also in Qoppa’s free PDF reader, PDF Studio Viewer.

PDF Studio 2019 is fully integrated with popular document storage systems, Dropbox, Google Drive and One Drive, allowing users to browse, load and save documents from and to the cloud, in the same easy way as they access files on their local file system.

The Docusign integration makes it easy to manage legal agreements that require third party signatures, such as invoices, leases, work orders or rental contracts. Documents and forms are created and customized in our PDF editing application, then sent seamlessly to Docusign, through the integrated interface, where they can be populated with signatures fields, and sent off for signing. The integrated document workflow will no doubt save valuable time and effort in the daily routine of many business professionals and contractors.

User accessibility features were added in version 2019, allowing users to create accessible tagged PDFs, by exploring, verifying, creating and editing tags in a document. The accessibility tags are attached to the different objects present in the content of a PDF, such as headings, images, paragraphs and tables. They are designed to help accessibility software, such as screen readers, understand the document structure and present the information accurately to readers with disabilities. PDF/UA standard is the PDF sub-format that defines these tags.

The new Split Document View allows to view or inspect the content of two non continuous PDF pages in a long and complex PDF document at once. It is useful when users need to refer to one part of a document, while reading another. There are options to split the view vertically or horizontally, and to copy the zoom level from one view to the other.

The already powerful Overlay Comparison feature was enhanced this cycle, allowing to compare 2 or more PDF documents by changing their color then overlaying them, in such a way that identical content is shown in gray and differences are highlighted in different colors. This feature is especially useful for architects and engineers to visually identify even small differences in architectural drawing and blue prints. The new automatic alignment and scaling tool makes it easy to precisely superimpose documents coming from different sources and having disparate offset, scale, or even rotation. For performance and accuracy, the exported comparison document is now vector based, with all overlaid documents saved in separate layers, that can be turned on and off with a click.

Fix Scan comes with various functions to clean up scanned documents, including a deskewing function to straighten pages, an OCR function to recognize and add searchable text, and finally an optimize function to reduce the size of the images, and improve image resolution and compression algorithm.

PDF Studio 2019 includes many other improvements, such as a sanitize tool, search and markup, search & redact, ability to customize quick access toolbar with favorite tools, merge and flatten layers. See the full list of new features.

Version 2019 delivers integration with Docusign & Document Storage Services
to help users manage, store and sign electronic documents,
as well as user accessibility tools  to create PDF/UA compliant documents.

Qoppa Software has added annotating and form filling capabilities in the latest version of its reliable PDF reader application for Windows, macOS and Linux, PDF Studio Viewer 2018.

There are now a multitude of comments available to review and markup PDF documents with text and graphics. These include sticky note, typewriter, text box, callout, shape and text markup annotations.

Interactive forms of type Acroform or static XFA can be filled and saved; and support for JavaScript allows for fields calculations, validation and formatting.

Qoppa’s PDF Reader can open secure or signed PDF documents, validate digital signatures, manage digital certificates, turn on and off layers, render all types of gradients and transparency, print and search with advanced options, and more. The application has a friendly and powerful user interface. The ribbon layout makes it easy to find all the tools at users’ disposal to view and inspect PDF documents, such as a loupe tool, pan and zoom, grid and rulers. The navigation toolbar and side panels (that display comments, thumbnails, layers, destinations, digital signatures, file attachments and bookmarks) allow to efficiently navigate through PDF documents and their interactive objects.

This latest version 2018 really opens up new possibilities for end-users and professionals on all operating systems, but specifically on macOS and Linux, where many existing PDF applications derive from the same technology and have limited support for advanced PDF functions.

The PDF format is a very extensive file format, with specifications spanning over 1000 pages. Over the last 15 years, while providing products and services to companies and end-users all over the World, Qoppa Software has developed a robust PDF engine that supports a very wide range of functions and is one of the most advanced on the market.

New PDF Studio 2018 adds Ribbon UI, Inline Text Editing, Rich Text in Form Fields

Qoppa Software, a leading producer of PDF software, announces version 2018 of PDF Studio, their powerful, intuitive PDF Editor for Windows, Mac and Linux. PDF Studio 2018 adds many new exciting features including:

The PDF Studio 2018 interface has been redesigned with a Ribbon Toolbar to provide easy and efficient access to the many functions the application has to offer. Compared with the old classic menu, ribbons are enhancing the discoverability of new & existing features, providing users with a simple to use, visual interface to browse through all the tools and find the functions they need. The responsive auto-sizing design also creates better support for different display and windows sizes. For users who prefer the previous layout, an option is available under Preferences to revert to the classic menu.

The new Inline Text Content Editing with reflow provides user friendly text editing directly on the page. PDF Studio’s advanced text recognition logic can detect contiguous text blocks within a document, and organize them into paragraphs and columns. Users can edit text within a PDF as they would in a word processor, including across paragraphs, without worrying about text reflow; they can modify layout by resizing or moving columns and easily change font, style and alignment on text.

sign2

The new Fast Sign Tool allows users to create signature stamps that can be quickly applied to documents. Signature stamps can be created in 3 ways: by using a handwritten font, by drawing a signature with a mouse or tablet pen or by importing a scanned signature image. Signed PDFs are automatically flattened upon save to prevent further editing of the signatures or any interactive form fields present in the documents.

Rich Text & Unicode are now fully supported when filling interactive forms, allowing to format and style all or part of the field contents, but also type in strings from multiple fonts, including non-Latin fonts such as Arabic, Chinese, and Russian. This feature is certain to please Qoppa’s growing international customer base.

Direct Sane access was implemented on Linux to connect to scanners, resolving many issues caused by the old Sane Daemon interface, and allowing Linux users to set and save many scanning options. Scanning profiles can be started with a single click from the scanning menu and will keep information about the scanner to use, the color options, the DPI resolution, or even whether OCR should be performed on the scanned document.

Creating and editing Page Templates is a way to make smarter, more dynamic PDFs. The templates are hidden pages stored within the PDF (usually an interactive PDF form), that can be appended or shown based on a JavaScript trigger saved within the document. Typical use cases would be a patient form where a second insurance information needs to be filled, a contract where an addendum needs to be shown, or a tax document where an extra page is needed for entering additional deductions.

PDF Studio 2018 includes many other improvements, such as incremental dynamic stamps (with counter), ZUGFeRD verification, PAdES signatures. See the full list of new features.

As part of this latest version, new features and enhancements were also added to Qoppa’s free PDF reader for Windows, macOS and Linux. The new PDF Studio Viewer 2018 includes annotating functions including typewriter, callout, text box, sticky note, text markups & shape annotations and comes with the ability to fill and save forms. This is certainly one the best cross-platform PDF readers available on the market!

Version 2018 is a major release that delivers a new intuitive user interface, many advanced features and greater stability to make your PDFs smarter and do more with your documents!
